2011 SPRING FLING - Picnic and Geo-Poker Run Thing

The event will be held on Saturday May 14 and will be at the Litzenberg Barn again in Findlay, Ohio.
This is a CALL for VOLUNTEERS!
It takes a team of people to put this together, and we would like to get plans and volunteers in place early. Please post in THIS forum if you are willing to help do any of the following:
If I can get a list of caches I can setup a download system like we did for the Christmas Party.
That seemed to work OK and as a backup I can have printed copies available.
I will get with the CO of the caches in the immediate area and see about doing what they do for the BI event. We need to keep the poker run more localized due to the time it takes to complete the run. I will also get a few items for door prizes and see about getting a nice item for the poker run winner.
So, thus far it looks like this. McCombref and I will hide new caches close to the ones that are already in place . These are the ones that will have the poker run cards. They will be published at or around noon the day of the event. The old ones can be found as well and will be archived the next day.
Event starts at 9 and we have a drawing for the FTF's with those present. We have Mighty Mo load the new caches and old ones if need be into the FTF winners machines and have them wait until all the ftf winners are ready to go. They all leave at the same time. We start loading the new caches into peoples units or they can do themselves with a list that is handed out. We plan for the picnic to be about 1 pm and do the winner of the poker run and raffle some items. Maybe a group photo after that then we get things wrapped up to tear down.
Sorry, but somehow like all other Spring Flings, we will probably be on vacation.
Somehow it seems to always get scheduled while we are gone.
We are lucky to at least have made it once.

May be none of my business, but are you sure this is what you meant to say?
Aren't the old ones usually archived immediately after the event and the new ones publsihed the next day? (Although the new coords are given out at the event). I can't imagine new ones being published before the old ones are archived. BUT, I was wrong once before.

Help Wanted: Two to Three Grill Cooks for the Spring Fling. Charcoal, food and UTENSILS provided. Easy prep/cooking as it is Hot Dogs & Hamburgers.
Pay Scale: Depending upon experience, but mostly the satisfaction and compliments you receive from your fellow cachers.
Experience: Entry-Level position.

I would volunteer but my work schedule have been 6 days a week.
I will have a GPX file of caches in the area like I did for the Christmas party. What radius from the event should I use?
5 mile radius yields about 35 + new for the event,
10 mile radius yields about 100 + new for the event,
15 mile radius yields about 130 + new for the event.
This is the GPX file that will be available. The printed handout will only be a 5 mile radius.
